You are not asked to share special categories of personal data in the form. We kindly ask you not to write special categories of personal data such as health information, biometric data, political opinion, religious or philosophical belief, or criminal conviction into the free text fields.

  3. Purposes of Processing

Your personal data is processed for the following purposes:

    • To receive and evaluate your project request,
    • To contact you regarding your request,
    • To plan the needs, scope, budget and timing of the project,
    • To carry out preparations for a possible service relationship,
    • To prevent repeated submissions of the same request, spam activity and misuse,
    • To ensure information security and investigate technical issues,
    • To establish, exercise or protect rights in the event of a dispute,
    • To fulfil obligations arising from applicable legislation.

While you fill in the form, your project description may be passed through an automated text processing system in order to produce a shorter editorial summary. This is carried out on the project description only. Your name, email address, budget, time preference and the other information you provide in the form are not sent to the summarisation system.

The resulting summary is not used to make an automated decision producing legal or similarly significant effects concerning you. The information relied upon when evaluating your project request is the original description written by you.

  4. Legal Grounds for Processing

Your personal data is processed on the following legal grounds set out in Article 5 of the KVKK:

    • Processing of personal data being necessary because it is directly related to the conclusion or performance of a contract,
    • Processing being mandatory for the establishment, exercise or protection of a right,
    • Processing being mandatory for the legitimate interests of the data controller, provided that it does not harm your fundamental rights and freedoms,

Reading or acknowledging this notice does not constitute explicit consent to the processing of personal data. If a separate process requiring explicit consent is carried out, your freely given consent will be obtained separately for that process.

  5. Method of Collection

Your personal data is collected by automated means in electronic form while you fill in and submit the project request form on raylie.net.

Draft information written before the form is completed is held only in your browser’s session storage. This draft is deleted when the relevant browser tab is closed or when the form is submitted successfully. An abandoned form is not recorded in full in the Raylie database.

The text you write in the project description field may be sent to the server when you pause typing, in order to produce an automatic summary.

Your language and appearance preferences may be stored in your browser so that the same preferences can be applied on your subsequent visits.

  6. Transfer of Personal Data

Your personal data may be transferred to the following groups of recipients to the extent necessary to fulfil the stated purposes:

    • Persons authorised to evaluate project requests on behalf of Raylie,
    • The Vercel infrastructure used to host and run the website,
    • The Neon database infrastructure used to store project requests,

  7. Retention Period

Personal data obtained through your project request is retained for a maximum of 12 months from the date the request was submitted.

At the end of this period your personal data is deleted, destroyed or anonymised, unless there is an ongoing contract, a legal dispute, a statutory retention obligation, or another legal ground requiring the establishment, exercise or protection of a right.

Your language and appearance preferences may be retained for a maximum of one year. Your form draft is held only for the session of the relevant browser tab.

  8. Cookies and Browser Storage

The Raylie website may use functional cookies to remember the language and appearance theme you select. These cookies are not used for advertising, user profiling or cross site tracking.

Answers you have given in the project request form but not yet submitted may be stored temporarily in your browser’s session storage so that they are not lost if you close the form by accident or refresh the page. This information is deleted from the browser when the tab is closed or when the form is submitted successfully.

Raylie does not use third party advertising cookies or analytics cookies that track visitors across different websites.

  9. Data Security

Your name, email address, project description, the editorial summary produced and your free notes are stored in the database encrypted at field level.

For the purposes of security, duplicate submission control and rate limiting, email and IP addresses are processed using one way digest values rather than in directly readable form. Your raw IP address is not stored in the project request record.

Appropriate technical and administrative measures are applied to prevent unlawful processing of personal data and unauthorised access to it, and to keep personal data securely.

    • Claim compensation if you suffer damage because your personal data has been processed unlawfully.
  11. How to Apply

You may send your requests under the KVKK to the following email address, stating your name, surname, your request and information that helps verify your identity:

Where possible, the application should be sent from the email address you previously shared with Raylie and which is recorded in our system.
